Rental Callouts: Access, Approval & Payment

Before driving to a rented property, get the occupier's number, the person approving the work and the billing details in the same booking message.

Ask the agent this

“Who will let me in, what can I approve up to, and who should receive the invoice?” Get a purchase-order reference if their process needs one.

The tenant reporting a leak may not be the person who can approve a repair. Get the authoriser's instructions before buying parts or extending the work.

Confirm that someone can let you in

Call or text the occupier with your arrival window. Check any key-collection instructions before setting off. If access is disputed, refer it back to the agent or landlord rather than improvising entry.

GOV.UK explains the access rules in England, including emergencies. Rules elsewhere in the UK differ.

Get extra work approved in the same thread

Send the finding, a useful photo and the additional price to the named authoriser. Save their reply with the booking.

Send the handover with the invoice

Say what you repaired, what is safe to use and whether another visit is needed. Attach the required photos or certificates and ask who will arrange access for a return.
